What Wedding Rentals Should You Book First?

Photographer: Lauren McCormick Photography

Planning a wedding comes with a lot of decisions. Some need your attention right away, while others can wait until later. Wedding rentals fall into both categories. You probably don’t need to choose your exact napkin colour two years before your wedding. However, waiting too long to reserve your major rentals can limit your options.

At Valley Tent & Party Rentals, we recommend starting with the items that have the biggest impact on your wedding. You should also prioritize rentals with limited availability. Once you secure those pieces, you can take your time choosing the smaller details.

Start With the Rentals Your Wedding Depends On

If you’re planning an outdoor wedding, your tent should sit near the top of your list. Your tent creates the main space for your reception. It also influences many of the decisions you’ll make afterward. The right size depends on much more than your guest count. Your tables, chairs, dance floor, bar, DJ, catering area, and other rentals all require space.

Your preferred tent style matters too. If you have your heart set on a specific tent, we recommend booking it early. Our popular sailcloth tents have limited availability and can book quickly for busy wedding weekends.

Restroom trailers should also enter the conversation early for many outdoor weddings. Private properties, farms, and outdoor venues may not have enough washroom facilities for a large guest count. Adding a restroom trailer gives your guests a comfortable and convenient option. Like our tents, we only have a limited number of restroom trailers available.

Wood furniture can also book early. If a particular chair or table style plays an important role in your wedding vision, secure it sooner rather than later.

You Don’t Need to Choose Everything at Once

Booking early doesn’t mean you need your entire wedding designed today. This is something couples sometimes misunderstand. You can secure the important pieces while leaving yourself time to make other decisions.

Your final guest count probably won’t come until much closer to your wedding. Your colour palette may change slightly as you gather inspiration. That’s okay. Start with the rentals you know you need. Then build the rest of your wedding around them. Once you’ve secured your tent, you can start thinking about your floor plan and furniture.

Later, you can have fun choosing linens, napkins, glassware, chargers, signage, silk florals, and other details. This approach can make the rental process feel much less overwhelming. It also allows your wedding style to develop naturally instead of forcing yourself to make every decision at once.

Book for the Wedding You’re Planning

When reserving rentals, think about your maximum expected guest count rather than your minimum. You don’t want to reserve a tent or limited-inventory item for a smaller wedding and discover later that you need something larger. Guest lists almost always change during the planning process. Starting with your expected maximum gives you more room to adjust as RSVPs arrive.

The same idea applies to tables, chairs, and other important rentals. You can refine your quantities later according to the terms of your rental agreement. The important part is making sure enough inventory exists for your wedding date.

You should also think about the property itself when booking a tent. Tent installations require more planning than simply choosing an open area of grass. Different tent styles have specific installation requirements. Ground conditions, underground utilities, trees, buildings, slopes, and vehicle access can all affect your setup. Customers must identify and mark private underground utilities before installation. Private utilities can include sprinkler systems and other infrastructure that public locating services may not identify.

If you know about unusual ground conditions or installation restrictions, tell us during the planning process. Early communication gives us time to recommend a site visit when necessary and work through potential concerns before installation week.

Planning a 2027 or 2028 Wedding?

If you’re getting married in 2027 or 2028, you don’t need to wait to start your rental planning. In fact, starting early gives you the best opportunity to secure the pieces you really want. Popular dates can fill quickly, especially when several couples want the same limited-inventory rentals.

Start with your tent, restroom trailer, favourite furniture, and any other must-have pieces. Then enjoy choosing the details as your wedding gets closer. Your wedding may still feel far away, but securing the big pieces now can make the rest of the planning process much easier.
