Renting a tent for your event is a crucial step that requires thoughtful planning and attention to detail. To make sure everything goes smoothly, we strongly advise allowing at least a week to complete the tent rental process.

Why a Week Is Essential

One of the primary reasons we need this time is to comply with safety regulations, specifically the Ontario One Call requirement. By law, an Ontario One Call request must be submitted before any tent can be set up. This process is designed to prevent damage to underground utilities, ensuring the safety of both our staff and your guests. The locate process can take several days, so it’s crucial to factor this into your timeline. If you’re not located in Ontario, no worries. Follow this link and click the province you are located in. It will bring you to the appropriate site to request a locate.

Even if you believe there are no utilities in the area where the tent will be installed, it is still legally required to have a locate completed. This law is in place to ensure the safety of our staff and to prevent any potential damage to buried infrastructure.

If the area is indeed clear of any utilities, the response from the site will be immediate, and you will receive documentation confirming that the area is safe. However, skipping this step is not an option, as it is a legal requirement that cannot be bypassed.

The Paperwork

In addition to the Ontario One Call, there are various forms, documents, and logistical steps that need to be completed before the tent can be installed. This includes site surveys, delivery questionnaires, tent location sketches, other forms, arranging delivery and pick-up, and in some cases, permits from local authorities. These documents are vital to ensuring that your event runs smoothly and that the tent is set up according to all safety guidelines.

Planning Ahead

Given the various steps involved, we recommend contacting us as early as possible to start the process. Planning ahead not only helps you secure the tent you want but also ensures that all necessary safety checks and paperwork are completed in time for your event.
