If you’re planning a wedding for 2027 or 2028, it may feel like you have plenty of time to start thinking about rentals. However, when it comes to some of the most popular wedding rentals, booking early can make a big difference.
At Valley Tent & Party Rentals, we carry a large selection of tents, tables, chairs, linens, décor, and other event rentals. While we have larger quantities of some products, there are certain specialty items that we only have a limited number of available.
Our sailcloth tents, restroom trailers, and wood furniture are some of the rentals that can book quickly for popular wedding weekends. If one of these items is important to your wedding plans, we recommend securing it as soon as you have your date and venue confirmed.
Limited Inventory Means Popular Dates Can Fill Quickly
Unlike décor details that can sometimes be decided closer to your wedding, your tent is the foundation of an outdoor wedding. It determines how many guests you can comfortably accommodate and how much space you have for your tables, dance floor, bar, catering area, and other rentals.
Our sailcloth tents are particularly popular with couples planning outdoor, backyard, farm, and waterfront weddings throughout the Ottawa Valley. Because we have a limited inventory, we can only accommodate a certain number of sailcloth tent weddings on any given weekend.
The same applies to some of our other popular rentals.
Our restroom trailers are a great addition to weddings taking place on private properties, farms, and outdoor venues where existing washroom facilities may not be suitable for the number of guests attending. With a limited number available, they can book well in advance.
Our wood furniture, including popular wood chairs and tables, is another category where availability can become limited as wedding dates begin filling up.
If you already know that these are must-haves for your wedding, there is very little benefit to waiting until closer to your date to reserve them.
Booking Early Gives You More Time to Plan
Booking your wedding tent early isn’t only about securing inventory. It also gives us more time to properly plan your installation.
Tent installations can vary significantly from one property to another. Ground conditions, underground utilities, access for our trucks and trailers, trees, buildings, slopes, and the amount of available space can all affect where and how a tent can be installed.
The earlier we begin working with you, the more time we have to identify any concerns and determine whether a site visit would be beneficial.
This is especially important if you have your heart set on one of our sailcloth tents. Sailcloth tents must be properly staked into the ground to safely secure the structure, so the installation area needs to be suitable for the tent.
Starting early gives everyone involved plenty of time to plan rather than discovering potential site concerns immediately before the wedding.
Booking early also doesn’t mean you need to know every detail of your wedding. Your guest count, table layout, linen colours, décor choices, and other smaller details can continue to evolve as you plan.
The important thing is securing the major rentals that your wedding depends on.
